This Privacy Policy explains how [Company Legal Name] ("iSpeak", "we", "us") collects, uses, shares and protects personal information when you use the iSpeak platform and services (the "Service"). By using the Service you agree to this Policy.
Information We Collect
Account information you provide at registration and in your profile: name and surname, email address, phone number, date of birth, country and city, profile photo, the languages you are learning and your level, and similar details.
Learning and usage data: the schools you belong to and your membership status, classes booked and attended, points, levels and leaderboard position, courses completed, event RSVPs, ratings and the content you post.
Messages you send and receive through the Service, including your conversations with the in-app assistant and any support conversations, together with any report you make about another user's message.
Payment information: handled by our third-party payment processors; we receive limited details such as the plan, the amount, the currency, the billing cycle and the transaction status, and we do not store full card numbers.
Technical data: device, browser, IP address and usage logs collected automatically, including via cookies and similar technologies.
How We Use Information
We use personal information to: create and manage your account; provide the Service, including memberships, class booking and school communities; personalise your experience and learning; process payments and send transactional messages such as receipts, booking confirmations, reminders and notifications; provide support; maintain safety and security and prevent abuse; comply with legal obligations; and, with your consent where required, send marketing communications.
Legal Bases
Where applicable law (such as the GDPR) requires, we process personal data on the bases of: performance of a contract (to provide the Service), your consent (for example certain communications), our legitimate interests (for example improving and securing the Service), and compliance with legal obligations.
How We Share Information
We share personal information with: the school you belong to and its staff, as needed to run its community and deliver its classes; teachers, as needed to deliver a class you booked; service providers who help us operate the Service (for example hosting, payment processing, analytics and communications) under appropriate confidentiality obligations; and authorities or third parties where required by law or to protect rights, safety and the integrity of the Service. We do not sell your personal information.
School Communities and Your Controls
When you join a school, your display name, photo, level and points are visible to that school's members, and posts and comments you make in its community are visible to them. Some features, such as a leaderboard, may show parts of your profile to other members. You control what other members can see through your account's public-profile settings; fields you turn off are hidden from other users. You can update these settings at any time. Email and phone number are managed for accuracy and may be editable only by an administrator.
Chat and Messages
Direct messages between you and other users, and the messages you exchange with the in-app assistant, are stored so that they can be delivered and so that you can read them later.
Messages are private between the participants, but they are not end-to-end encrypted: authorised iSpeak staff and, where you report a message, the school's moderators can access the reported conversation in order to review the report and act on it. We keep a record of reports made and the action taken.
Conversations with the in-app assistant are stored so the assistant can keep context, and a short summary of your own data (your schools, upcoming classes, notifications and payment history) is used to answer you. A message the assistant could not answer may be logged for us to improve the assistant; that log never contains your payment details.
Do not use chat to send information you would not want stored, and do not send payment card details through chat or to the assistant.
Payments and Billing Data
When you pay for a membership, the payment is processed by our third-party payment provider. We do not receive or store your full card number or your bank credentials.
We do store a record of each transaction so we can show your payment history, handle refunds and disputes, calculate what a school is owed, and meet our accounting obligations. That record includes the amount, the currency, the billing cycle, the plan or membership bought, the school, the status, and an identifier from the payment provider.
If you own a school and are paid by bank transfer, we store the bank details you give us (account holder, bank, account or IBAN, SWIFT/BIC) in order to send your payouts. They are stored separately from the rest of your school's data and are shown to you masked; only authorised iSpeak staff can see them in full. They are never shown to your members.
Cookies and Similar Technologies
We use cookies and similar technologies to keep you signed in, remember preferences and understand usage. You can control cookies through the cookie preferences panel and through your browser settings; disabling some cookies may affect functionality.
Data Retention and Account Deletion
We retain personal information for as long as your account is active or as needed to provide the Service and meet legal, accounting or reporting requirements. When an account is deleted we remove the associated personal information from our active systems; following deletion the email address may be used to register a new account. Some information may be retained where required by law or for legitimate business purposes (for example transaction records and payout records, which we must keep for accounting), and backups are cleared on a routine cycle.
Data Security
We use reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access. No method of transmission or storage is completely secure and we cannot guarantee absolute security.
Your Rights
Depending on your location you may have rights to access, correct, update or delete your personal information; to object to or restrict certain processing; to withdraw consent; and to data portability. You can exercise many of these directly in your account settings or by contacting us at [contact email]. You may also have the right to lodge a complaint with your local data-protection authority.
Children’s Privacy
The Service is not directed to children under the age stated in our Terms (at least 16, or the age of digital consent in your country). We do not knowingly collect personal information from children below that age without appropriate consent. If you believe a child has provided us personal information improperly, contact us and we will take appropriate steps.
International Transfers
Your information may be processed and stored in countries other than your own. Where we transfer personal data internationally we take steps to ensure appropriate safeguards consistent with applicable law.
Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated Policy with a new "Last updated" date and, where appropriate, notify you. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
